Redemption Stores

The Redemption Store app permanently converts a Prodigy store into a storefront where approved customers can redeem products using Redemption Codes instead of paying for them.

This setup is useful for company stores, employee uniform programs, client gift programs, onboarding kits, and other situations where customers should receive a limited number of products at no charge.

Important: Converting a store into a Redemption Store is permanent. The store cannot be changed back into a standard storefront. Cloning the store will also create another Redemption Store.

Enabling the Redemption Store App

Navigate to Apps from the left navigation menu.

Locate the Redemption Store tile and click Enable.

Open the Redemption Store app and click Enable again.

Prodigy will display a warning explaining that the store cannot be converted back from Redemption mode. Confirm the change only when the store is intended to remain a Redemption Store permanently.

After the app is enabled:

  • Product prices are hidden throughout the storefront.
  • Customers do not pay for products.
  • Taxes are not calculated.
  • Customer login is required.
  • Redemption Codes control which products customers may order.
  • Redemption Codes are the only available payment method.
  • Free shipping must be available.
  • A new Redemption Codes section appears in the left navigation menu.

 

 

How Redemption Store Rules Work

Each Redemption Code defines:

  • Which product categories the customer may order from
  • How many products the customer may order
  • When the code becomes available
  • When the code expires
  • Which customer may use it

 

Customers may order fewer than the maximum number of allowed products. However, once an order is placed, the code is considered used and cannot be used again.

Creating a Redemption Code

Navigate to Redemption Codes and click Add Redemption Code.

 

Configuring Category and Quantity Limits

In the Settings section, select one or more product categories and enter the permitted quantity.

Each row creates one shared category rule.

For example:

  • Gift Items with a quantity of 1 allows one product from that category.
  • T-Shirts with a quantity of 1 allows one T-shirt.
  • Gift Items and T-Shirts placed in the same row with a quantity of 2 allows any combination of two products across those categories.

 

A customer could therefore redeem:

  • Two Gift Items
  • Two T-Shirts
  • One Gift Item and one T-Shirt

 

Each category can appear in only one rule, although one rule may contain multiple categories.

The Total Items value is the sum of the quantity limits across all rules.

Prodigy reevaluates the entire cart whenever a customer attempts to add another product. If the cart can satisfy the Redemption Code rules in any valid combination, the product is added. Otherwise, the customer sees an error.

Products outside the permitted categories, or products that would exceed the quantity limit, cannot be added.

 

Setting the Activation Period

Under Activation Period, enter:

  • Start Date
  • Start Time
  • End Date
  • End Time

 

The activation period controls both storefront access and checkout eligibility.

Customers cannot use the code before the start date and time or after the end date and time.

After a code has been created, administrators may edit its end date. The start date and time cannot be changed.

 

Choosing How Codes Are Assigned

Under Customers, choose one of the following assignment methods:

  • Automatically
  • Manually
  • Unassigned

 

Each customer account can have a maximum of one Redemption Code assigned to it for the lifetime of the store.

A customer cannot receive another code later, even if the original code expires or is used.

Automatically

Select Automatically to generate and email one unique Redemption Code to every customer who does not already have a code.

Click Check Available Customers to view the customers who are eligible to receive one.

The list includes only customers without an existing Redemption Code.

A separate code is created for each customer.

Manually

Select Manually to choose specific customers.

Use the customer list to select the accounts that should receive the code rules.

Each selected customer receives a unique Redemption Code.

Customers who already have a code will not appear as available.

Unassigned

Select Unassigned to generate codes without attaching them to customer accounts in advance.

Enter the number of codes to generate.

Each generated code initially has no customer assigned to it. The first customer who logs in using a particular code becomes permanently connected to that code.

After assignment:

  • The customer’s email appears beside the code.
  • The code can be used only by that customer.
  • Another customer cannot claim or use it.

 

This option is useful when codes will be distributed outside Prodigy by an administrator, employer, event organizer, or program manager.

Generating One Shared Code

Enable Generate Single Code to create multiple code records that all use the same code value.

Enter:

  • The number of code uses to create
  • An optional custom code

 

For example, entering 100 and the custom code SUMMERVIBES creates 100 available Redemption Code records using the same code.

Up to 100 different customer email addresses can then claim that code. Each claim assigns one of the available records to that customer.

As customers claim the shared code, their email addresses begin appearing beside the individual records on the Redemption Codes page.

 

Adding the Redemption Codes

After configuring the rules, activation period, and assignment method, click Add Redemption Code.

Prodigy creates the appropriate number of code records and returns you to the Redemption Codes page.

 

Redemption Code Email Notifications

When Redemption Codes are assigned automatically or manually, Prodigy sends the configured Redemption Code email to each customer.

The email can include:

  • The Redemption Code
  • The store name
  • The eligible categories
  • The permitted quantity
  • The total number of items allowed
  • A link to access the store
  • The activation period

 

The Redemption Code email template appears under Settings → Emails after the Redemption Store app is enabled.

Configuring Free Shipping

Redemption Stores require free shipping.

Customers cannot complete checkout if no free shipping method is available.

Configure a free shipping method under the store’s shipping settings before distributing Redemption Codes.

Customer Login

Customers access the Redemption Store using:

  • Their email address
  • Their Redemption Code

 

For automatically or manually assigned codes, the email must match the customer account connected to the code.

For an unassigned code, the first customer to log in with it becomes permanently assigned to that code.

For a shared single code, each customer email claims one available record from the shared set.

If the email and code do not match, the code is expired, the code has already been used, or the customer already has a different code assigned, the customer cannot access the store.

 

Shopping in a Redemption Store

Customers can browse all visible storefront products, but prices are hidden.

The Redemption Code determines which products may be added to the cart.

The cart displays the current number of items compared with the maximum allowed total, such as:

  • 0/2
  • 1/2
  • 2/2

 

Customers do not have to redeem the full allowance. They may check out with fewer items, but the remaining allowance cannot be used later.

 

Checkout

The checkout process uses the customer’s permitted shipping addresses and available free shipping method.

No standard payment method is required.

The Redemption Code appears automatically during the payment step.

After the customer confirms the order:

  • The code becomes Activated.
  • The order is marked as paid.
  • The customer cannot use the code again.
  • The customer cannot log back into the storefront with that code.
  • The customer receives the configured order confirmation email.

 

Managing Redemption Codes

The Redemption Codes page displays all code records.

The table includes:

  • Created date
  • Redemption Code
  • Start and end dates
  • Status
  • Assigned customer
  • Total items allowed

 

Use the search field to find a specific code or customer.

Redemption Code Statuses

Not Activated

The code has not yet been used to place an order.

A Not Activated code may already be assigned to a customer. Assignment and activation are separate.

Activated

The code has been used to complete an order.

Activated codes cannot be used again.

Assignment Versus Activation

A code becomes assigned when it is connected to a customer account.

For automatically and manually distributed codes, assignment occurs when the code is created.

For unassigned codes, assignment occurs when a customer first logs in with the code. For example, when I log in with Todd's code in the previous step, that code becomes assigned to Todd's email address.

A code becomes Activated only after the customer completes an order.

Once activated, the customer cannot use the code again or log back into the store with it.

 

Editing Redemption Code End Dates

Select one or more codes from the Redemption Codes page.

Click Edit End Date to update their expiration date in bulk.

Only the end date can be edited. The start date and time remain unchanged.

 

Deleting Redemption Codes

Open the three-dot menu beside a code and click Delete.

Only codes that have not been activated can be deleted.

Activated codes cannot be deleted because an order has already been placed with them.

 

Exporting Redemption Codes

Click the three-dot menu in the upper-right corner and select Export.

The export includes information such as:

  • Redemption Code
  • Start Date
  • End Date
  • Status
  • Total Items
  • Customer email
  • First Name
  • Last Name

 

This is especially useful for unassigned codes that will be distributed by another person or organization.

 

Redemption Code Payment in Order Details

Although customers see the term Redemption Code, Prodigy records the payment method internally as PO Code.

The code used for the order appears in the Payment Details tab.

The business operating the Redemption Store remains responsible for the cost of the products and fulfillment outside the customer-facing checkout process.
