ShipStation

The ShipStation app sends shippable Prodigy orders to ShipStation, where you can manage shipments, create shipping labels, and track fulfillment.

When a shipment is created in ShipStation, the fulfillment information is sent back to Prodigy. Orders may be fully or partially fulfilled depending on which products are included in each shipment.

Connecting the ShipStation App

To get started, navigate to Apps from the left sidebar menu.

Locate the ShipStation app and click Enable.

The ShipStation configuration page will prompt you to enter:

  • API Key
  • API Secret

 

 

Generating ShipStation API Credentials

Log in to your ShipStation account.

Click the gear icon in the upper-right corner to open Settings.

From the left navigation menu, expand Account Settings, then select API Settings.

Under API Keys, select V1 API.

Important: The Prodigy integration requires the ShipStation V1 API.

Click Generate API Key.

ShipStation may ask you to sign in again before continuing.

Setting the API Key Expiration

ShipStation API keys expire after the selected period.

Choose an expiration period for the key. For the longest available connection period, select 12 months.

Click Generate.

ShipStation will display:

  • API Key
  • Secret Key

 

Copy both values before leaving the page.

Important: ShipStation only displays the API Key and Secret Key when they are created. Store them securely before closing the window.

 

Saving and Verifying the Connection

Return to the ShipStation app in Prodigy.

Paste the ShipStation API Key into the API Key field and the Secret Key into the API Secret field.

Click Save App.

After saving, the button will change to Verify Connection.

Click Verify Connection to confirm that the credentials are valid.

If the credentials have not been verified, the app will display Not Verified.

After the connection is verified, select the ShipStation store that should receive Prodigy orders.

 

Selecting a ShipStation Store

Use the Select Store dropdown to choose the ShipStation store where Prodigy orders should be sent.

If the ShipStation account is used only for one Prodigy store, you can usually select Manual Orders.

For ShipStation accounts that manage multiple Prodigy stores, creating a separate manual store for each Prodigy store can make orders easier to organize.

 

Creating a Manual Store in ShipStation

From ShipStation, click Start Setup.

When prompted to connect a store or marketplace, search for and select ShipStation.

This creates a manual ShipStation store that can receive orders through the API.

Enter the store information, including:

  • Store Name
  • Automatically Generate Order Numbers, if desired
  • First Order Number
  • Optional Prefix

 

Orders imported from Prodigy use the Prodigy Order Number, so the ShipStation order-number settings are generally not relevant when the store only receives Prodigy orders.

Click Connect.

After the store is created, return to Prodigy and refresh the ShipStation app page. The new store should appear in the Select Store dropdown.

Select the store and click Save App.

 

Order Synchronization

After the app is connected, new Prodigy orders containing products that require shipping are sent to the selected ShipStation store.

Products that are not marked as requiring shipping are not included in ShipStation.

Orders generally include the information needed to prepare the shipment, such as:

  • Prodigy Order Number
  • Customer and shipping information
  • Products and variants
  • SKUs
  • Quantities
  • Product weights and dimensions
  • Selected shipping method
  • Additional order details included in the order notes

 

The order will then appear in ShipStation under the selected store.

From ShipStation, you can configure the shipment, choose a carrier and service, create a label, and continue the fulfillment process.

Product Shipping Requirements

A product must be configured as requiring shipping before it can be sent to ShipStation.

Shippable products must also include the weight and dimensions required for shipping.

These settings are configured from the product editor under Product Shipping and Taxes.

 

Fulfillment Synchronization

Creating a shipping label in ShipStation will typically mark the shipment as shipped.

ShipStation then sends fulfillment information back to Prodigy.

The synchronized information may include:

  • Fulfillment status
  • Carrier
  • Shipping method
  • Tracking number

 

The Prodigy order will display the fulfillment as completed through ShipStation.

By clicking the three dots below the the fulfillment details, you can Edit Tracking, Cancel Fulfillment, or Track Shipment.

When you click Edit Tracking, you're able to edit the Tracking Number and Shipping Carrier that you configured in ShipStation.

 

Shipping Confirmation Emails

When fulfillment information is received from ShipStation, Prodigy sends the configured shipping confirmation email to the customer by default.

The email can include the carrier, shipping service, tracking number, and tracking link.

This notification can be disabled by turning off the applicable shipping email template under Settings → Emails.

 

Partial Fulfillment

ShipStation can create multiple shipments for a single Prodigy order.

If the first ShipStation shipment includes only some of the products in the order:

  • Those products are marked as fulfilled in Prodigy.
  • The remaining products stay unfulfilled.
  • The overall order status becomes Partially Fulfilled.

 

In the Prodigy order details, you'll see exactly which items have been fulfilled.

Additionally, you'll see each shipment as it comes in under shipping details.

When another shipment is created in ShipStation for the remaining products, an additional fulfillment is added to the Prodigy order.

Once every shippable product has been fulfilled, the order becomes fully fulfilled.

 

Renewing Expired API Credentials

ShipStation API credentials expire based on the period selected when the key was generated.

When the credentials expire:

  1. Return to ShipStation → Settings → Account Settings → API Settings.
  2. Select V1 API.
  3. Generate a new API Key and Secret Key.
  4. Copy both values.
  5. Return to the ShipStation app in Prodigy.
  6. Replace the existing API Key and API Secret.
  7. Click Save App.
  8. Click Verify Connection.

 

Generating new credentials does not remove previously synchronized orders or fulfillment history. It only restores the connection for future synchronization.
